Welcome to Playbase. By choosing to work with us and signing the quote you agree to the following terms and conditions. These are here to ensure a smooth, transparent and fair collaboration for everyone involved.

Payment & Invoicing

A 50% deposit may be required before starting any project. No work will begin until the deposit is received.

The remaining balance is due before final files or deliverables are handed over.
All invoices must be paid within 30 days of issue.
If you become inactive or unresponsive for more than 30 days, we reserve the right to issue the final invoice and temporarily suspend access to deliverables.
Payment plans may be discussed and set up in writing at our discretion.
Late payments may incur collection or recovery fees if overdue by more than 30 days.

Client Dashboard & Collaboration

Our secure client dashboard allows you to:

Track project progress in real time
Access files and deliverables
Submit comments and feedback
Centralize communication with our team

Active participation through the dashboard is expected to ensure the project flows smoothly. Not using the platform may cause delays or a lack of clarity on timelines.

Fonts & Licensing

All fonts used in a project are subject to commercial licensing laws.

We will indicate which typefaces were used in the design. It is your responsibility to acquire the necessary licenses if you wish to use them in your own materials.
We cannot legally share or transfer any fonts we have purchased ourselves unless explicitly allowed by the license.
Fonts used in logos are typically outlined (vectorized) and do not require a license unless you plan to edit or reuse them elsewhere (e.g. on websites, in documents).

Ownership & Intellectual Property

All drafts, sketches, source files and concepts remain the property of Playbase until the project has been paid in full.

Upon final payment, the final deliverables become your property, as defined by the project scope.
Any unused concepts or early-stage ideas remain ours and may be reused for other work.
If final payment is not received, you are not permitted to use, adapt, or modify our work in any form. Legal action will be taken in the case of unauthorized use.

Showcasing Work

Unless otherwise agreed (via NDA or stealth mode), Playbase reserves the right to showcase finished projects and assets in our portfolio, on our website, social platforms or in industry publications and awards.

If your project must remain confidential, please notify us before the start of the collaboration.

Naming Responsibility

You are responsible for ensuring that your game, studio or product name is legally available before the project begins.

Playbase is not liable for legal issues arising from the use of existing or trademarked names.
Changing the name of a project mid-course may result in additional fees if significant design work has already been completed.

Project Cancellation

If you cancel the project after it begins, any paid deposit is non-refundable.

Depending on the amount of work completed, a partial refund may be offered at our discretion.
If we are unable to complete a project due to illness or force majeure, we will either refund a fair portion of the budget or hand over all usable work produced so far.

Project Suspension

Playbase reserves the right to suspend or terminate a project if:

There is excessive micromanagement or interference
The client provides no actionable feedback after multiple design proposals
The client refuses to issue final payment without valid cause

We will always provide fair warning and a chance to resolve the situation before suspension. No refunds will be issued in the case of unjustified termination.

Force Majeure

Playbase is not liable for any delay or failure to perform obligations due to events beyond our control, including but not limited to: natural disasters, war, government action, pandemics, or service outages.

We will resume operations as soon as circumstances allow.
