Welcome to Playbase. These Terms of Service ("Terms") govern your access to and use of Playbase's design services. By subscribing to our services, you agree to comply with these Terms. Playbase is a web design agency specializing in marketing assets for the video game industry, offering subscription-based design support to developers, studios and publishers.

Services Provided

Playbase offers creative design services including, but not limited to, landing pages, websites, press kits, store assets, pitch decks, branding and marketing visuals. Our services are delivered under a subscription model that grants clients access to our design team for ongoing task requests. This model ensures flexibility and scalability, allowing clients to submit tasks as needed during their active subscription period.

Our subscription grants clients access to Playbase's design team for a continuous flow of creative production. The active subscription allows you to:

Submit tasks through our dedicated Kanban board (e.g., Trello).
Receive daily progress updates based on task priority.
Request unlimited revisions within the scope of each task.

The subscription is flexible, allowing you to pause, upgrade, downgrade or cancel at any time with no long-term commitment. Task progress depends on the active status of your subscription.

Subscription Management

Clients may pause or cancel their subscription at any time, effective at the next billing cycle. Pausing a subscription will freeze task progress and billing until reactivation.

No partial refunds will be provided for mid-cycle cancellations. Tasks in progress at the time of cancellation will be halted and only completed work will be delivered.

Workflow & task management

Clients are provided with a personalized Kanban board to submit and manage design tasks. Tasks are handled sequentially, progressing daily based on priority and team capacity.

Clients are responsible for providing clear briefs, necessary materials and timely feedback. Delays in client responses may affect overall delivery timelines.

revision & scope adjustments

All subscriptions include unlimited or limited revisions within the scope of the initial task brief. Revisions are iterative improvements to the existing design direction.

Significant shifts in concept, additional deliverables or requests beyond the original brief will be considered new tasks and queued accordingly.

Delivery Times

Delivery timelines vary depending on task complexity and queue volume. Small tasks (e.g., social media visuals) are typically delivered within 4-6 business days. Larger projects (e.g., websites, full press kits) require extended timelines, which will be communicated clearly. Regular progress updates are provided to ensure transparent timelines.

Fonts & Licensing

All fonts used in a project are subject to commercial licensing laws.

We will indicate which typefaces were used in the design. It is your responsibility to acquire the necessary licenses if you wish to use them in your own materials.
We cannot legally share or transfer any fonts we have purchased ourselves unless explicitly allowed by the license.
Fonts used in logos are typically outlined (vectorized) and do not require a license unless you plan to edit or reuse them elsewhere (e.g. on websites, in documents).

Ownership & Intellectual Property

All drafts, sketches, source files and concepts remain the property of Playbase until the project has been paid in full.

Upon full payment and project completion, clients receive exclusive rights to the final delivered assets, including editable source files unless otherwise specified.
Any unused concepts or early-stage ideas remain ours and may be reused for other work.

Showcasing Work

Unless otherwise agreed (via NDA or stealth mode), Playbase reserves the right to showcase finished projects and assets in our portfolio, on our website, social platforms or in industry publications and awards.

If your project must remain confidential, please notify us before the start of the collaboration.

Naming Responsibility

You are responsible for ensuring that your game, studio or product name is legally available before the project begins.

Playbase is not liable for any errors, omissions or legal issues arising from client-provided information.
Changing the name of a project mid-course may result in additional fees if significant design work has already been completed.
You are responsible for verifying all text content, including names, spellings, and legal disclaimers within their deliverables.

Project Cancellation

If you cancel a task after it begins, any subscription is non-refundable.

Depending on the amount of work completed, a partial refund may be offered at our discretion.
If we are unable to complete a project due to illness or force majeure, we will either refund a fair portion of the budget or hand over all usable work produced so far.

Project Suspension

Playbase reserves the right to suspend or terminate a project/task if:

There is excessive micromanagement or interference
The client provides no actionable feedback after multiple design proposals
The client refuses to issue subscription payment without valid cause
The client fails to provide feedback or necessary materials for a period exceeding 15 consecutive days, Playbase reserves the right to suspend the active task and project. The subscription will remain active during this suspension unless the client requests a formal pause or cancellation.

We will always provide fair warning and a chance to resolve the situation before suspension. No refunds will be issued in the case of unjustified termination.

Force Majeure

Playbase is not liable for any delay or failure to perform obligations due to events beyond our control, including but not limited to: natural disasters, war, government action, pandemics, or service outages.

We will resume operations as soon as circumstances allow.
